Finance & Billing Overview

An easy-to-understand guide to the Finance & Accounting section. Learn how it tracks tuition revenue, unpaid invoices, and tutor pay settlements automatically.

1. What is the Finance Section?

Admin Portal → Sidebar: Finance

The Finance section tracks your school's income, expenses, unpaid dues, and tutor payouts automatically—eliminating the need for separate accounting spreadsheets.

  • Sidebar Navigation: In the left sidebar, click Finance to expand financial views (Dashboard, Invoices, Settlements, Ledger).
  • Dashboard Overview: High-level financial totals, total revenue, and outstanding balances.
  • Master Ledger: Chronological search and filter view for all payment receipts and invoices.
  • Tutor Settlements: Tracks earned pay per completed class and logs tutor pay settlements.
  • Accounting Reports: Automatically generates Profit & Loss statements and Balance Sheets.

2. Automated Financial Tracking

Background Automation Rules

As daily classes are taught and payments are recorded, financial entries generate in the background:

  • Income Automation: Enrolling a student generates the billing invoice. Marking a class complete records earned income. Recording a payment updates cash accounts.
  • Expense Automation: When a tutor completes a class session, their pay rate logs as a payroll expense. Logging a payout settlement updates tutor account ledgers.

3. Accounting Principles & Audit Trails

Accounting Audit Rules

To maintain accounting integrity, transaction logs cannot be un-audited or deleted. Corrective entries (voiding an invoice or adding a credit entry) balance out mistakes seamlessly.
